If the reported notebooks are always away from the office network, then its recommended to manage them under "roaming user" profile by creating and managing on a "Direct Remote office".
Please click How to use roaming users desktop using DC? for more details.
After creating a new "Direct Remote Office" then use "Move To" option under Admin -->SoM to move it with a mouse click.
